Getting Started
Creating an Account
To begin using WorkForce Registry, you need to create an account. Click on the "Get Started" button on the homepage or navigate to the registration page. Fill in your personal information including your first name, last name, email address, and create a secure password. After submitting the form, you'll receive a verification email to confirm your account.
Logging In
Once your account is verified, you can log in using your email and password. If you forget your password, use the "Forgot Password" link on the login page to reset it. You'll receive an email with instructions to create a new password.
Setting Up Your Profile
After logging in, navigate to your profile page from the dashboard. Here you can update your personal information, contact details, and account settings. Keep your profile information current to ensure smooth communication and credential management.
Understanding Your Dashboard
Your dashboard is the central hub for managing all your activities. It displays:
- Active Memberships: The number of organizations you belong to
- Active Credentials: Credentials that are complete and up to date
- Pending Actions: Credentials that need attention or documentation
- Your Organizations: A list of all organizations you're a member of, with your role in each
- Credential Status: An overview of all your credentials and their current status
The dashboard provides quick links to manage your organizations and credentials, making it easy to navigate to the areas that need your attention.
Managing Organizations
Joining an Organization
You can be invited to join an organization by an administrator. Once invited, you'll receive a notification or email with instructions to accept the invitation. After accepting, you'll be assigned a role within the organization, such as Doctor, Nurse, Administrator, or another position specific to your work.
Viewing Organization Details
From your dashboard, click on any organization to view detailed information including the organization's contact information, your role, employment dates, and the credentials required for your position. You can also see other members of the organization if you have appropriate permissions.
Creating an Organization (Administrators)
If you have administrative privileges, you can create new organizations. Provide the organization name, industry type, contact information, and address details. Once created, you can invite users, define roles, and set up credential requirements specific to your organization's needs.
Managing Credentials
Understanding Credentials
Credentials are certifications, licenses, or training requirements needed for your role within an organization. Each credential may have multiple components, such as specific certifications, background checks, or training courses that must be completed and verified.
Viewing Your Credentials
Navigate to the Credentials page from your dashboard to see all credentials assigned to you. Each credential shows its current status:
- Completed: All required documents have been uploaded and approved
- Pending: Documents are awaiting review by an administrator
- Incomplete: Required documents have not been submitted
- Expiring Soon: Credentials that need to be renewed
Uploading Documents
To complete a credential, you need to upload supporting documents. Click on a credential to view its requirements, then use the "Upload Document" button to submit the necessary files. You can upload various file types including PDFs, images, and other common document formats. Add a description to help administrators understand what the document contains.
Reusing Documents
If you've already uploaded a document that satisfies multiple credential requirements, you can reuse it. When submitting documents for a new credential, you'll have the option to select from previously uploaded documents rather than uploading the same file again.
Tracking Document Status
After submitting a document, its status will show as "Pending" while awaiting administrator review. You'll receive a notification when the document is approved or if additional information is needed. Check your credential status regularly to stay on top of any required actions.
Administrator Features
Managing Roles
As an administrator, you can define roles within your organization (e.g., Doctor, Nurse, Technician). Each role can have specific credential requirements. Navigate to the Admin Dashboard and select "Roles" to create, edit, or delete roles as needed for your organization.
Defining Credential Requirements
After creating roles, you can define what credentials are required for each role. Create credential definitions that specify the name, description, and individual components needed. This helps standardize compliance requirements across your organization.
Adding Users to Your Organization
Invite users to join your organization by adding them through the Members page. Assign each user a role and specify their employment start date. You can also designate certain users as administrators who will have additional management capabilities.
Reviewing Documents
One of your key responsibilities as an administrator is to review and approve documents submitted by users. Navigate to the Document Review section to see pending submissions. Review each document carefully and either approve or reject it. When rejecting, provide clear feedback so users know what additional information or documentation is needed.
Generating Reports
Access the Reports section to generate summaries of credential status across your organization. View metrics such as completion rates, expiring credentials, and users with incomplete requirements. These reports help you maintain compliance and identify areas needing attention.
Notifications
The system sends notifications to keep you informed about important events:
- Incomplete Credentials: Reminders when you have credentials that need documentation
- Expiring Credentials: Alerts when credentials are approaching their expiration date
- Document Approval: Confirmation when your submitted documents are approved
- Document Rejection: Notification when documents need revision or additional information
- New Organization Invitations: Invites to join organizations
Check your notifications regularly to stay current with your credential requirements and organizational responsibilities.
Frequently Asked Questions
What file types can I upload?
The system accepts common document formats including PDF, JPG, PNG, and other standard file types. Ensure your documents are clear and legible for administrator review.
How long does document approval take?
Document review times vary depending on your organization's processes. Administrators receive notifications when documents are submitted and typically review them within a few business days. Contact your organization's administrator if you need expedited processing.
Can I belong to multiple organizations?
Yes, you can be a member of multiple organizations simultaneously. Each organization may have different role assignments and credential requirements. Your dashboard will display all your organizational memberships.
What happens when a credential expires?
You'll receive notifications before a credential expires, giving you time to renew it. After expiration, the credential status will update, and you'll need to submit new documentation to bring it back into compliance.
How do I update my contact information?
Navigate to your Profile page from the dashboard menu. Here you can update your email, phone number, and other personal details. Remember to save your changes before leaving the page.
